Arabia Street Festival 2012 was only a part of a process. It’s one milestone on the road towards new, even more fantastic events. Everything we did, slip-ups and victories, all was a part of a learning experience. That’s why it’s important to have a thorough sit-down afterwards. What was done well, what didn’t work?
We all agreed that internal communication requires further development. Settling more clear communication hierarchy and chains help to save time and nerves. In the years to come, everyone in contact lists should be assigned to different contact groups with care, and the communication method should be chosen for each contact group separately. Intranet is the cosiest for the production core group, others can be contacted via e-mail. Facebook and the web site are efficient in reaching artists.
To patch up our budget, we tried to sell festival-themed knich-knacks on the event web site through the Holvi service. The idea was a dead duck. Nobody wants to buy festival bags online, they need to be printed beforehand and sold on the event day. Silly us.
“Would someone please think of the children?!” Although we had a lot of action meant for families, it is a good idea to put even more effort into content intended for children. Street culture belongs to kids as well!
The festival area was unbelievably large. A slight feeling of a crowd creates an atmosphere, so a more contained event area would probably improve visitor experience.
Looking back, it’s evident that there are hundreds of things we could have done better and easier. On the other hand, there are also things that we definitely nailed. Facebook communication was smooth and we managed to convince a group of great partners to co-operate. Thanks to them, it was possible to organise the festival with a next to nothing budget.
All in all, it has been a great experience with lots of learning potential. Sometimes stressful, mostly fun. The festival itself was a reward of all the work done. I quote Taneli the producer: “An event is a short moment when a crowd of people have fun.”
If event production tickles your interest, listen up for these empowering and encouraging words:
- Motivate the volunteers! When the only reward is “thank you”, there’s no reason to be stingy with it.
- Delegate, delegate, delegate
- Don’t be afraid to ask silly questions and make silly suggestions. If you don’t know how something is done, let the task guide you. Step by step.
- Have faith in your event. Enthusiasm is contagious and attracts co-operation partners.
- Have fun! It’s no good to build great events with a constantly furrowed brow!
